Add residents, employees, or vendors

Every resident, employee, or vendor who needs to open a door gets their own user profile in Brivo Access. The profile holds who they are, which groups (and so which doors) they can use, and the card, mobile pass, or PIN they open doors with.

Quick steps

  1. 1

    Open the Users page

Log in to Brivo Access, go to the Users tab on the left navigation bar, and click Create New User.

  2. 2

    Enter the basic info

Fill in the user's Full Name, Phone Number, and Email. Use the optional Custom Fields for things like unit number, company, or department if your account has them set up. A valid email is required if you plan to issue a Brivo Mobile Pass.

  3. 3

    Add a profile photo (optional)

Upload a photo in the Profile Photo area. A photo lets security staff confirm who is at the door with the Verify User features. See our guide on adding a user photo for details.

  4. 4

Assign the user to a group

Click Assign to a Group, select the group or groups that hold the door permissions this person needs, and click Assign. A user cannot open any doors until they are in at least one group.

  5. 5

Give them a way in: card

To issue a physical card or fob, click the Card icon, pick the card number from the list or search for it, and click Assign Credential.

  6. 6

Or give them a mobile pass

To issue a phone key, click the Mobile Pass icon, then click Assign a Credential and confirm their email address. Brivo sends them an invitation email to set up the pass on their phone.

  7. 7

    Or give them a PIN

For keypad doors, click the PIN icon, choose a length of 4 to 8 digits, then type a number or click Generate PIN. PINs cannot be sequential (1234) or repeating (1111).

  8. 8

    Save the user

Review the details and click Create User at the bottom of the page. The user is active right away and their permissions are sent to the door controllers immediately.

One person can hold up to 16 credentials, so a resident can have both a fob and a mobile pass.

Brivo requires a unique email per user. If the email is already in the system, find and edit the existing user instead of creating a duplicate.
